General Job Description
The Kingdom Diplomats Administrator will be a gifted, experienced and skilled church administrator for the Diplomats responsible to supervise and facilitate the day-to-day administrative operations of the Diplomats in close co-operation with the Kingdom Diplomats Pastor, Family Chaplain, any Elders and Deacons for the Diplomats and other staff. As a faith-based organization and place of Christian worship, the Kingdom Diplomats beliefs are foundational to everything it does. The Administrator will be expected to share these beliefs, join in the spiritual life of the Kingdom Diplomats, and work actively to support its ministry and vision. The Administrator, in conjunction with the staff, is key to enabling growth in the ministry and mission of the Kingdom Diplomats. In line with the Kingdom Diplomats vision, through effective administration within the Diplomats, the Administrator will be expected to be a key face in managing and assisting the staff to carry out the mission of the Diplomats. The position requires an exceptional degree of professionalism and the ability to work in an ever-changing environment, where multi-tasking, sound decision making, self-motivation and discretion are essential. Equally the Administrator will need confidence and proven organizational, financial, communication and interpersonal skills. Discretion and confidentiality with highly confidential information and conflict situations is essential.
Education
A bachelor’s degree and/or 3-5 years’ experience working in church administration and/or business administration is desired. IFOC Chaplaincy certification is desirable or certification within 1 year of being hired. Strong references are desirable and will be verified and considered.
Responsibilities and Duties

The Kingdom Diplomats Administrator shall be accountable to and reports directly to the Kingdom Diplomats Pastor through the Personnel Committee.

The Kingdom Diplomats Administrator must have a working knowledge of the physical layout of and the functions of the facility, learn and be able to quickly implement the Emergency Action Plan (EAP), and be able to open and close the facility, using the written procedures.

Theological Identity

Have a clear testimony of faith in Jesus Christ and a call to the position of Administrator.

Be a mature Christian with a strong Biblical foundation.

Understand and enthusiastically support the theology of Never-Ending Grace Corporation and the Kingdom Diplomats, their Statement of Faith, Objectives, Purpose, and Goals.

Maintain a personal discipline of daily prayer and devotion in an effort to deepen his/her relationship with Jesus Christ continuing to grow in faith through study and prayer.

Motivate and role model staff, leaders, and those coming to the Kingdom Diplomats to share the Gospel with their friends.

To work to assure that programs and events at the Kingdom Diplomats will draw people of all backgrounds and ages from outside the Diplomats who need to know Jesus Christ.

Personnel Management
-
Gives general direction to the weekly operation of the Kingdom Diplomats to help ensure consistent and efficient answering of the phones and follow-up, greeting of all who visit the Diplomats and follow-up, timely updating of Kingdom Diplomats websites and program information, timely updating and publishing of calendars, bulletins, newsletters and directories.

Participates in staff meetings and appropriate Team meetings.

Responsible for the daily management and staffing of the church facility.

Serves as the Head of Staff in coordination with Personnel through Kingdom Diplomats Pastor.

Responsible for all human resources services for all paid staff and volunteers.

Assists in the development and administration of the personnel job descriptions, policies, and procedures for the Kingdom Diplomats.

Maintains personnel records and evaluations.
-
Assures Kingdom Diplomats compliance with federal and state labor laws.
-
Coordinates vacation schedules; maintains all vacation/leave/work hour totals.

Facilitates volunteer help as needed.

Maintains all Kingdom Diplomats attendee’s information and tracking, recording all address changes, births, marriages, baptisms, deaths.

Is the first contact for all who seek emergency assistance, disseminating information and instructions, including names and contact information for Diplomats and non-Diplomats resources.

Financial Management
-
Oversees Kingdom Diplomats finances in the receipt, deposit and disbursement of all Diplomats funds.

Oversees all Kingdom Diplomats accounts/investments at all financial institutions and with all investment groups.

Oversees the purchasing process and maintaining of vendor relationships.

Oversees the preparation of financial reports to each ministry at the Kingdom Diplomats.

Works with Pastor, Staff and Teams to prepare an annual Kingdom Diplomats budget.

Oversees the administering of the payroll for all Kingdom Diplomats employees.
-
Works with the accountant that the Kingdom Diplomats uses to assure all tax reports are promptly paid, filed on a timely basis, and that a constant audit system is maintained with proper checks and balances.

Opens, reviews, and routes bills to the correct person or group for approval of payment.

Opens, reviews, and notifies the correct person or group of incoming payments/donations and crediting to the proper account.

Facility Management
-
Develops and administer policies and procedures concerning the use of all Kingdom Center facilities.

Works with the Pastor and staff coordinating the assignment of all rooms and spaces within the facility for all services, meetings, programs, and activities, while managing and resolving any conflicts relating to the use of the facility.

Oversees the insurance requirements and acts as the main point of contact with insurers; periodically evaluating the insurance needs of the Kingdom Diplomats and its facilities.

Oversees the security of the Kingdom Diplomats and maintains an accurate record and maintenance of key card holders. Additionally oversees the training of all personnel in the Emergency Action Plan (EAP) and updates the plan as necessary.

Oversees and maintains an inventory of Kingdom Diplomats property and equipment, advises appropriate staff or Deacons on matters relating to furniture, resources, and equipment, needs and provides administrative support and approval for any necessary repair or purchasing.

Responsible for maintenance of all office equipment and technical systems.

Communicates effectively and regularly with the Kingdom Diplomats Sexton about the state of the premises, maintenance requirements, health, and safety concerns, etc.; ensuring that the premises are clean, tidy, and safe for all users. This includes monitoring recycling and rubbish collection.

Purchases sufficient materials and equipment for cleaning and maintenance needs in conjunction with the Sexton.

Provides administrative support to the Kingdom Diplomats leaders including record keeping, communication with vendors and proper payments.

Overview
The Kingdom Diplomats Administrator oversees the administration of the business affairs of the Kingdom Diplomats, working with the Pastor, staff, and Partner’s to achieve the objectives of the Kingdom Diplomats. This includes overall direction for the daily management of the Diplomats, the coordination of all human resources, finance, accounting, facility, maintenance operations, events scheduling, purchasing, and management of the Diplomats’ technology systems. The Kingdom Diplomats Administrator is responsible for assisting the Diplomats in carrying out its mission by planning and implementing effective organizational and fiscal processes to achieve its goals. The Kingdom Diplomats Administrator will work closely with the Pastor, any Elders and Deacons, Staff and Diplomats Teams and operational groups to ensure that those coming to the Kingdom Diplomats and its programs have effective, Spirit-led experiences at the Diplomats and its related events.
Working Conditions Note: The position of Kingdom Diplomats Administrator requires some flexibility in working hours, including some evenings and weekends.

Compensation
The Kingdom Diplomats Ambassadors salary will be based on industry standards as well as previous experience, certifications, education, and additional skills, and will have a starting range between $40,000 and $50,000 per year. Similar positions in the City of Milwaukee as of January 26, 2023, averaged $42,828. The salary range for a church Administrator in Wisconsin as of January 26, 2023, falls between $37,587 and $48,996, with an average salary being $43,061.
